Describe what happened, in order
A concise timeline is more useful than a guess about the cause. Record when the change began and the conditions at the time, such as whether the equipment was starting, under load or already warm.

- Exact alarm text or code, if one appeared; photograph the display when safe.
- What changed in sound, vibration, output or operation, and any recent event before it began.

Bring the service history and request
Share the last known service date and operating hours, work already completed, and any parts or fluids recorded. Then say whether you want to discuss planned maintenance, a reported fault, repair coordination or parts information.

Make vessel access easy to understand
State where the yacht is, whether it is afloat or in a yard, and what an attending person needs to know before access. Share preferred dates as options for discussion, not as an assumed booking.
- Marina, berth or yard location and any visitor or security steps.
- Any access restriction, onboard contact or arrangement that affects the work area.
- Whether the vessel is available at the location where the equipment can be inspected.
